Meet Signup Instructions for Swimmers and Parent Volunteers
How to Register for Jobs and Swims at a Meet:
Log in to the website. Login is found in the upper right hand corner of the screen.
If you can’t remember your password, click "Forgot your password" to reset your password.
Under the Meets & Events tab, select "Signup Calendar" to sign up for a swim meet.
Job Signup
- Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
- Click Save Assignments.
- Click Back to Signup Calendar.
Swimmer Signup
- Click the green MEET ENTRY tab, and then click the green Edit tab under your athletes' names.
- For each of your athletes, select an option from the drop down list next to their names.
- (undeclared)
- Attending
- Not Attending
- Click Save to record your choices.

For families who are new to swim meets, here is a simple guide to help you know what to expect throughout the season.
A Typical Swim Meet Schedule
Before the Meet
Swimmers should arrive early to:
- Stretch as a team
- Get settled with their teammates
Warm-Ups
The pool opens for warm-ups before the meet begins.
- The home team warms up first
- The visiting team warms up second
Warm-ups help swimmers practice starts, turns, and get comfortable in the water before racing.
How the Meet Runs
The meet officially begins with the 6 & Under age group and continues through older swimmers.
Events Alternate Between:
- Girls
- Boys
Heat Order
Within each event, the fastest heats swim first.
Events are swum in the following order:
- Freestyle
- Breaststroke
- Backstroke
- Butterfly
How Swimmers Move Through the Meet
- Arrive, stretch, and warm up
- Coaches or Clerk of Course volunteers will call swimmers several events before they swim
- Swimmers receive an event card that includes:
- Name
- Event
- Best time
Important: These cards help record:
- Who swam
- Official times
- Event results
During the Race
- For 25-meter races, runners usually hand cards to timers
- Older swimmers swimming 50 or 100 meters hand their own cards to timers
After Racing
- Swimmers stay in the water until everyone in their heat finishes
- They exit the pool together
- Then return to teammates, friends, and family until their next event
- Their cards are taken by runners to the scorer table.
During the Meet
Pool Rules
- The deep end and shallow end remain closed during the meet
Staying Organized
Coaches and Clerk of Course volunteers help gather swimmers before events, but it is very important that:
- Parents and swimmers know which events they are swimming
- A few days before the meet, you will receive an email with the events your child is scheduled for. If changes are needed, please contact the head coach by midnight the night before the race.
- Families listen for announcements and swimmer names
- Swimmers stay for all scheduled events
Swimmers may leave after their final event, but are encouraged to stay through the end of the meet when possible.
Food & Hydration
- Swimmers should bring water bottles and light snacks
- A water jug will be available for refills
- Some meets may offer concessions
Fun Between Events
Kids often:
- Cheer for teammates
- Play games
- Spend time together between races
Relays
At the end of the meet, we finish with relay races:
- 1–2 girls relay teams
- 1–2 boys relay teams
Each relay team consists of 5 swimmers.
Relays are often the loudest and most exciting part of the meet!
After the Meet
Once all events are completed:
- Final scores are added up
- The meet score is announced to both teams
Ribbons & Recognition
Usually within the next day or two — often at the beginning of practice — coaches meet with swimmers to hand out ribbons.
Swimmers may receive ribbons for:
- 1st–6th place finishes
- Personal best times
A Note for Families
Please discuss this with your swimmer ahead of time:
Not every swimmer receives a ribbon at every meet, and that is completely normal. Summer swimming is about:
- Learning
- Improving
- Teamwork
- Sportsmanship
- Having fun
We celebrate effort, personal growth, and supporting teammates just as much as winning races.
What to Bring to a Meet
Suggested items:
- Goggles
- Towel
- Water bottle
- Light snacks
- Sunscreen
- Games or quiet activities between events
- Money for concessions (if available)
Volunteering
Parent volunteers are essential to running swim meets successfully.
Volunteer Expectations
- Each family is asked to fill TWO volunteer slots during the season
- Volunteer assignments are tracked
- If volunteer needs remain late in the season, families may be contacted directly to help fill open positions
Volunteer Coach Families
For the 2026 season:
- Families with a child serving as a volunteer coach have already fulfilled their volunteer commitment
New Volunteers Welcome!
We strongly encourage parents to:
- Shadow experienced volunteers
- Talk with current parent representatives
- Learn more about different volunteer roles
Many positions require little or no experience, and training/support is always available.
